Privacy Policy

Koyn (“Koyn”, “we”, “us”, or “our”) is a subscription and invoice intelligence platform operated by Techiebutler Technologies Private Limited, available at koyn.techiebutler.com. This Privacy Policy explains what information we collect, how we use and store it, who we share it with, and the choices you have. By using Koyn, you agree to the practices described here.

We collect the following categories of information:

• Account information — your name, email address, password (stored hashed), organization details, and team membership.
• Financial data — invoices, bank statements, transactions, cards, and subscription records that you upload or that are generated within Koyn so we can provide tracking, matching, and reporting.
• Connected-account data — when you connect a Google (Gmail) or Microsoft (Outlook) account, we access the email messages and attachments you authorize so we can detect invoices and subscription activity. See section 04 for exactly what Google data we use and how.
• Messaging identifiers — if you connect Telegram, we store the identifiers needed to send you reminders and notifications.
• Usage & log data — device, browser, IP address, and activity logs used for security, auditing, and improving the product.

We use the information we collect to:

• Provide subscription tracking, invoicing, and reporting.
• Automatically capture, extract, and match invoices and transactions across your accounts.
• Send reminders, alerts, and notifications you request.
• Maintain security, prevent fraud, keep audit logs, and comply with legal obligations.
• Operate, maintain, and improve the Koyn product.

When you connect a Gmail account, Koyn requests only the access it needs to find and capture your invoices and receipts. We request the following Google OAuth scopes:

How we handle Gmail data. We read messages and attachments only to detect invoices/receipts and extract their details (vendor, amount, dates, invoice number). We store the resulting extracted invoice data and the source document itself so you can review, match, and manage it inside Koyn. We access Gmail with read-only permission and never send, modify, label, or delete anything in your mailbox.

Limited Use.Koyn’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we do not:

• use Google user data for any purpose other than providing and improving the invoice and subscription features you see in Koyn;
• transfer or sell Google user data to third parties for advertising, market research, or any other purpose;
• use Google user data to serve advertisements of any kind;
• allow humans to read your Gmail data, except: (a) with your explicit consent for specific messages, (b) where necessary for security or to comply with applicable law, (c) when the data is aggregated and anonymized, or (d) as strictly required for internal operations subject to appropriate safeguards.

Retention & revocation. You can disconnect a Google account at any time from within Koyn, and you can revoke Koyn’s access directly from your Google Account permissions. On disconnection we stop accessing your mailbox. Captured invoices already in your account remain until you or your administrator delete them; to delete all data associated with your Google account, email us at info@techiebutler.com.

When you connect a Microsoft/Outlook account, Koyn requests read-only access to your mailbox for the same purpose — to detect invoices and receipts and extract their details. As with Google, we never send, modify, or delete messages, and we use the data only to provide Koyn’s invoice features. You can revoke access from your Microsoft account’s app-permissions page or by disconnecting the account in Koyn.

Koyn uses artificial-intelligence and OCR services to read documents, extract data from invoices and bank statements, and match transactions. To do this, relevant document content may be sent to third-party AI providers acting as our sub-processors, including OpenAI, Google, and Anthropic.

These providers process the content only to return results to Koyn and are bound by their respective terms and data-processing commitments. We do not use your content — including any data obtained from Google APIs — to train our own or any third party’s generalized AI/ML models, and this processing remains subject to the Limited Use commitments in section 04.

We rely on trusted third parties to deliver Koyn. Depending on the features you use, these may include:

• Google & Microsoft — email integration for invoice and subscription detection.
• Telegram — delivery of reminders and notifications.
• Amazon Web Services (AWS) — secure database and file storage, and transactional email.

Your use of connected services is also governed by those services’ own privacy policies.

We do not sell your personal data. We share information only with the sub-processors and service providers described above, to the extent needed to operate Koyn, and when required by law or to protect our rights and users.

We use industry-standard safeguards — including encryption in transit, encryption of connected-account credentials at rest, access controls, and audit logging — to protect your data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

We retain your information for as long as your account is active or as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion as described below.

Subject to applicable law, including India’s Digital Personal Data Protection Act, you may have the right to access, correct, update, or delete your personal data, and to withdraw consent for connected integrations. To exercise these rights, email us at info@techiebutler.com.

We use cookies and similar technologies to keep you signed in, remember preferences, and secure your session. You can control cookies through your browser settings, though disabling them may affect how Koyn works.

Koyn is not intended for individuals under the age of 18, and we do not knowingly collect personal data from children. If you believe a child has provided us information, please contact us so we can remove it.

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, notify you. Your continued use of Koyn after changes take effect constitutes acceptance of the updated policy.
